Choosing & planning

What is included?

Materials and equipment for the agreed activities, protective kit where needed, table covers, take-home creations, and setup and cleanup of the science activities. Mayor’s Café also includes the venue and children’s food. We confirm food arrangements and dietary needs before booking.

What ages are parties suitable for?

Usually ages 5-14. Tell me if you are planning for younger children, older children or teens, so we can discuss a suitable session.

How long is the party?

Science activities last 90 minutes. At your venue, allow about 30 minutes before for setup and 30 minutes afterwards for packing away. Longer sessions can be agreed before booking. The Mayor’s Café party slot is 4:30-6:30 pm.

How many children can come?

Your venue package covers 15 children. For more than 20, we agree staffing and price in advance. Mayor’s Café covers 10 children, with extra places up to a maximum of 20. Extra participants need agreement before the party.

Where can we hold the party?

At home, in a suitable hired venue, or at Mayor’s Café in Bedworth. Café slots are subject to availability. I’m based in Bedworth and cover Coventry, Warwickshire and the West Midlands.

Is there a travel charge?

Travel outside my core area is usually £20-£30, depending on the venue. Any travel charge is confirmed in your quote before booking.

Can we choose or mix themes?

Yes. Start with slime, potions, make-and-take science, mysteries, building or a favourite story or game. Tell me what your child enjoys and I’ll suggest a suitable mix. The activities are agreed for your group.

Can the party be outdoors?

When the weather, space and activities are suitable. We’ll agree a safe indoor backup before booking.

On the day & booking

What do we need at our venue?

Tables, a sink and suitable activity space. Please tell me about carpets, access restrictions and anything else that could affect setup. Allow the agreed setup and pack-away time.

Do adults need to stay?

Yes. The booking parent or host must remain and arrange responsible adults for toilets, food, general behaviour and collection. I lead the science activities. This is an activity party, not drop-off childcare.

What about allergies or support needs?

Please tell me about relevant allergies, sensory sensitivities or support needs before booking. We’ll discuss suitable activities and reasonable adjustments together. Share sensitive information privately, so we can plan for your child.

Do children get party bags?

They take home the creations they make, rather than traditional party bags. Follow the guidance supplied for take-home items.

What safety checks and insurance do you have?

I hold an enhanced DBS check and £10m public and products liability cover, subject to policy terms. I use risk assessments, relevant COSHH controls and equipment safety checks. Evidence is available on request.

How do we confirm a booking and pay?

Send an enquiry first. I check availability and send a written quote. A booking is confirmed when I accept it in writing and the required deposit is paid. The £20 deposit, unless otherwise agreed, counts towards the total. The balance and final numbers are due on the dates we agree in your confirmation.

What if we need to change or cancel?

Contact me promptly to discuss another date where available. Any cancellation charge reflects reasonable net loss after costs saved and replacement bookings, and cannot exceed the agreed party price. The deposit is not automatically forfeited. Please read the current party booking terms before accepting.

Will you take photos for publicity?

A booking does not give publicity permission. Identifiable promotional photos need separate consent, and children’s wishes are respected.

Science party booking terms

1 Your party booking

I am Kaja Niesłuchowska, a sole trader trading as STEM Goes Wild. My quote and written confirmation state the party date, venue, activity duration, age range, included numbers, activities, total price, travel or extras, deposit and balance-payment date. My business correspondence address is supplied before booking. Please read these terms before accepting. A booking is confirmed when I accept it in writing and the required deposit is paid. Changes are agreed in writing.

2 Price, deposit and numbers

Your written quote confirms the total price, included children and any travel, staffing, venue, food or extras. Prices already quoted and confirmed bookings are honoured. The £20 deposit (unless otherwise agreed) counts towards the total; the balance is due on the date in your confirmation. Confirm final numbers by the agreed date. Extra participants require my agreement so there is sufficient space, equipment and supervision. The cancellation terms below apply to deposits too.

3 Venue, access and preparation

You arrange a suitable venue unless the booking explicitly includes one. It must have space and tables for the agreed activities, access to a sink and any other agreed facilities. Tell me about carpets, access restrictions and outdoor plans. Allow the setup and pack-away time stated in the confirmation, normally about 30 minutes each. Outdoor delivery needs suitable conditions and an agreed safe alternative. Activities may be adapted for safety or accessibility while keeping the agreed purpose.

4 Adults, children and additional needs

The booking parent or host must remain present and arrange responsible adults to supervise the children, including toilets, food, general behaviour and collection. This is an activity party, not a drop-off childcare service. I supervise my activity delivery and remain responsible for reasonable care. Please share relevant allergies, health, sensory or other support needs securely in advance so we can agree reasonable adjustments. Children may be asked to pause an activity if necessary for safety, with the responsible adult supporting them.

5 If you change or cancel

Contact me promptly. I will discuss a different date where available, with any price change agreed first. If you cancel, any amount retained or charged will reflect reasonable net loss caused by the cancellation, including committed costs, after deducting costs saved and replacement bookings. The total charge will not exceed the agreed party price. I will explain the calculation and refund any excess paid. The deposit is not automatically forfeited. Fewer guests do not automatically reduce an agreed fixed-price package.

6 Cancellation rights and my cancellation

A party booked for a specific date is a leisure service for which the usual 14-day cancellation right for online or telephone bookings does not apply. Your rights where a service is faulty or not supplied are unaffected. If I cancel, I will offer an alternative where possible; you may decline it and receive a refund for the undelivered service without undue delay. Separate venue or catering services you book directly are governed by those suppliers’ terms.

7 Materials, photographs and responsibility

I provide the agreed activity materials and relevant instructions for take-home items. Parents and carers should follow age and supervision guidance, particularly for small parts or batteries. I remain responsible for the safety of products I supply and my own negligence. Nothing excludes death or injury caused by negligence, fraud, any liability that cannot lawfully be excluded, or your consumer rights. A party booking does not give publicity permission: identifiable promotional photos require separate consent and respect for the child’s wishes.

8 Information, questions and problems

I use necessary booking, contact and support information as explained in the Privacy and Data Protection Policy. Policies are available from me. Please tell me promptly about a problem so I can try to put it right; the Complaints Procedure explains my response and review arrangements. Contact contact@stemgoeswild.co.uk or 07949 793969. Safeguarding issues are handled immediately under the safeguarding procedure. These terms are for services in England and Wales and preserve your applicable legal rights.
